INTRODUCTION

Information Technology Unit was set up on 16th May 2003 in the Human Resource Department which was handled by the Information Technology Officer with the assistance of an Assistant Information Officer.  The Information Technology unit plays the role in providing computerized information system to support the needs of administration and management in the Human Resource Department.  This unit also acts as the catalyst as an initiative to improve the professionalism of administration by introducing the working culture which uses the concept of ICT in the department.

FUNCTION AND ROLES OF INFORMATION TECHNOLOGY UNIT

Development of Human Resource System and the administration (MyHRIS)

- To develop, improvise and to maintain the Human Resource System and the administration (MyHRIS)

- To conduct specified research for the demands of the Unified Information System in the Human Resource
   Department

- Design and implement to improve the programs, application and testing of the enhanced system/maintain
  (current system/bud /error).  Provide documentation and relevant system training to the module users under the
  Human Resource and Administration (MYHRIS) that have been developed such as:

 


           - Personnel Module

           - Staff Information Module (Staff Profile)


           - Medical Module


           - Leave Management Module (Leave Management)


           - Training Module (Training) (Training Needs Analysis / SLAB / SLAKKAP / SPU/SLAI / Sabbatical
             Leave Conference (Seminar / Conference)


           - Staff Attendance Module (Staff Attendance)


           - Payroll Module (Payroll)


           - Module Payroll (Staff Payment)


           - Disciplinary Action Module (Staff disciplinary)


           - EIS Information Module (manage application data, reports or statistics received from    superiors or
             outside agencies such as the PSD and KPT in the format required.

Manage and maintain the BSM website

- Develop and maintain web sites using the BSM portal of JOOMLA based on unit needs and customer’s feedback
  from time to time.  The BSM’S website can be accessed at http://bsm.upsi.edu.my

Manage and maintain the Human Resource Information Management System of the Public Sector (HRMIS)

- HRMIS is a Human Resource Information Management System of Public Service.  It is a Human Resource
 management system that is integrated, comprehensive and based on the competency which begins with a strategic planning procedure and hiring of man power until the officer retires. This system can be achieved in http://www.eghrmis.gov.my
- All universities need to use HRMIS solutions towards the Integrated Public Human Resource Management Service of Malaysia.  Accordingly HRMIS unit is responsible for managing the system for UPSI.  It includes the following task:

·          - Managing the preparation and submission of batch data to the HRMIS

·          - To manage the entry and updating the competency of owner directly to the HRMIS

·          - Manages data entry and updating of information involving the changes in special cases such as warrant
             changes, broken appointments and others/

·          - Conduct training on the HRMIS application

·          - To manage the level of 0 HRMIS helpdesk

Manage the preparation and submission of Database Information Coordination System of Higher Education universities KPT (MyMohes)

- Manage the data preparation and transmission of data in the format specified report regularly to the e-porch MyMohes KPT.  This unit is also responsible in ensuring the review and validation of the data which was done by the data owner.


Manage the preparation of user account system

- This unit is also responsible for providing a user account system to new employees to report to the University to enable access to the integrated information system of the University (SMBU)
